A Simple Excuse Letter is a Type of Business Letter





Any type of letter done which affects the operation of the business is considered a type of business letter.  An excuse letter in particular is a business letter when the writer needs to be excused in the operation of the business to attend to some personal needs.

An employee who may request for a leave may write an excuse letter to his immediate superior or to the authorize personnel.  To some establishments, a form is used to be filled up by an employee who may requests for a leave.  In the form, a section is provided to fill in the reason(s) why you want to be excused for a number of days.  Some require a written request of the reasons why you need to absent for a day or a couple of days.

This letter will then be filed so as to support a certain document especially related to you.  For example, if your work supports the policy “no work no pay” basis, then your excuse letter will then support your next pay day that you will not receive the exact payment for that payment period covered.

Your excuse letter will not only remain on the hands of your superior.  It will also be forwarded to the accounting department for accounting purposes.  You see, in accounting every single cent is important for them to balance the operation expenses for that day or for that month to be used also as they close a book of expenses for a fiscal year of business operation.

Excuse letter is not just an ordinary letter for you to be authorized to absent in an ordinary working days.  It is very important especially if your work requires an insurance benefits.  If incidentally you encountered an accident outside the business establishment, your excuse letter will then serve to prove that your are not covered by the insurance because your accident happened outside the business premises and only those incidents occurred inside are supported by such insurance.

Furthermore, if there is also an incident occurred connected with your work, but you are absent for that specific day, having a copy of your excuse letter will prove that you are not in any way connected to the incident.  If the incident will reach the court because of its nature, your excuse letter will serve also as a legal document proving your innocence about the matter.

These are just an example proving that an excuse letter is not an ordinary letter, but a type business letter not to be taken for granted.  It does not only excuse you from work, but a legal business letter circulating in the operation and function of the business in the community.

So before you plan to absent from your work, do not just absent without prior notice to your boss.  Write an excuse letter.  A two to three sentences explaining your reason is enough.  And wait for the approval before you leave.
